How to do 2x2 prioritization - Product for dummies

​Note: I wrote this because I use this. I give the same explanation on how to do 2x2 prioritization over and over and I don't like the other blogs on this on the web.

What is it?
Evaluate your options based on two distinct criteria to pinpoint the most critical ones to concentrate on at the moment.

Why do it?
This approach helps the team develop a common understanding and consensus, making it easier to decide the best course of action moving forward.

When to do it?
This situation arises when a team needs to prioritize tasks amidst diverse viewpoints on what to tackle first. It's about choosing key areas to focus on from a range of possibilities, despite differing opinions on the direction to take.

​Instructions

  1. Start by having the team come together to agree on two key criteria that will be used to prioritize tasks or decisions.
  2. Draw two intersecting lines at right angles to form axes, and label each axis with one of the agreed-upon criteria for prioritization.
  3. Assign the labels to the axes so that the quadrant at the top right becomes the most significant or highest priority area. This standard arrangement aids in consistency and clarity in repeated use of this method. For more detailed guidance, you might find the original post helpful.
  4. Begin by randomly choosing an option and positioning it around the center of the grid. This serves as a starting point for the evaluation process. For more details, you might find the original post useful.
  5. Next, pick another option and together, decide its placement on the grid in comparison to the first, considering both the vertical and horizontal criteria. This process helps in visually organizing and prioritizing the options.
  6. Ensure each option occupies a distinct spot, without overlapping in rows or columns, to maintain clarity and avoid confusion. This strategy aids in differentiating each option's priority based on the criteria.
  7. Continue the process for each option, placing them based on group consensus. The options that align closer to the top-right quadrant should emerge as the highest priorities.
  8. If the options cluster too much in one area, adjust their positions so they're more evenly distributed across the grid, ensuring clearer decision-making. This adjustment helps in better distinguishing priority levels among the options.
